(a) The “Owner” is Rustic Weddings Sydney
(b) The “Hirer” refers to the person or corporation hiring equipment from the Owner
(c) The “Equipment” means all the equipment and accessories supplied to the Owner
(d) “Terms” means these Terms and Conditions of Hire


(a) The hiring of the Equipment will commence from the commencement date specified on your Quote/Invoice and continue for the term specified. The Hirer is entitled to use the Equipment for the hire period. Any extension of the period must be agreed to by Rustic Weddings Sydney and fees paid immediately.
(b) The Hirer shall not remove the Equipment or any part thereof from the situation and position of its installation without consent from the Owner.
(c) The Hirer agrees not to use the Equipment at locations or purposes different to the equipment’s general designated purpose and specified suitability (such as indoor versus outdoor use).
(d) The Hirer acknowledges responsibility for the equipment and is liable for any damage.


(a) The Hirer agrees to pay Rustic Weddings Sydney the hire fee specified for the Equipment for the hire period including any applicable GST, freight and other charges relevant to this agreement.
(b) The required fees must be paid to Rustic Weddings Sydney 4 weeks prior to the commencement date of the hire period.
(c) Equipment not returned on time and in accordance with this agreement will be subject to a continuance of the agreed rental until return is complete.
(d) Payment as follows;;
(i) A 50% deposit of the agreed hire price within 2 weeks of confirmation of Quote/Invoice to secure your booking. If no payment is received this date is assumed available.
(ii) The balance of the agreed hire price is due 4 weeks prior to delivery of the goods. Payment must be made by credit card, bank transfer or cash.
(e) If full payment is not received within the specified time frame the Hirer will be deemed to have cancelled the booking
(f) All orders placed less than 4 weeks from delivery require full payment to confirm the booking.
(g) All prices are in Australian Dollars (AUD).and exclude (GST)


(a) A refundable bond will be required two weeks prior to the event to account for any loss or damage during the event.
(b) This bond will be returned in full after the event if no breakage, loss or damage has occurred. If items are returned unclean, broken or substantially damaged, the hirer will forfeit the bond to the owner.
(c) Rustic Weddings Sydney reserves the right to bill the Hirer if substantial loss or damage occurs above the bond reserve.
(d)Refund of the bond is solely at Rustic Weddings Sydney’s discretion. Refund of the bond will be by direct bank deposit within 14 days of the function.


All Cancellations are in writing. If The Hirer cancels an order/event, fees charged as follows;
(a) If your booking is cancelled 4 weeks or more before the event date, Rustic Weddings will make a full refund of any hire fees paid minus the 50% deposit paid;
(b) Bookings cancelled within the 4 week period before the event date will forfeit 100% of the total hire fee.


(a) Collection day are Thursdays between 8-4pm. Returns are Mondays between 8-4pm. Time of agreed collection and return must be adhered to. Failure to meet the agreed time will result in a $50 rescheduling fee.
(b) The Hirer must provide safe and proper access to and at the event site. If Rustic Weddings Sydney deems the chosen location is not suitable/safe for “Hello Lucy Lou” we will choose the closest possible flat surface.
(c) The Hirer is liable for all injury, loss or damage suffered by Rustic Wedding Sydney, its employees or agents while at the event site.
(d) Prices quoted are for delivery on street level. Extra charges shall be payable for delivery to and removal from higher or lower levels and difficult access. A distance of no more than 25 metres from carpark to set up location must be allocated.
(e) The Hirer must have a suitable size vehicle, for collecting equipment, securing and transporting. The Hirer needs to be capable of collection, loading and transporting Equipment.


(a) The Hirer is responsible for the Equipment from the time of delivery until collection by the Owner and shall pay for all Equipment damage or loss however caused during that period. The Hirer is liable for damage including:
(i) damage resulting from overloading, exceeding rated capacity, misuse, abuse or improper use of equipment;
(ii) Damage due to mysterious disappearance of the equipment;
(iii) Damage caused by the use or operation of equipment in contravention of any of the conditions of the agreement;
(iv) Damage to, or loss of, the equipment from any unknown cause.
(v) Cigarette burns, scratches, dents, wax residue, glass breakages, red wine spillages on any Equipment.
(b) The Hirer shall protect the Equipment from the elements during the time of delivery, use, storage or waiting period before pick-up.
(c) The Hirer shall maintain its own expense liability, property and casualty insurance coverage in amount necessary to fully protect the Owner and its equipment against all claims, loss or damage of whatever nature or type.
(d) The Owner shall not be liable for any loss or damage caused to any person, property, animal or things whatsoever arising from the use of the Equipment hereby hired and the Hirer indemnifies the Owner in respect to any claims for such loss or damage.
(e) By making a booking through confirming a quote via email, deposit payment or remittance of funds, the Hirer acknowledges and agrees to the Owners Terms and Conditions.
(f) For damage/loss costs associated with individual items please contact Rustic Weddings Sydney prior to making booking. Replacement of the damaged or missing Equipment is based on current retail value or the cost to remake/fix the broken Equipment.
(g) In the case of the equipment being damaged, the hirer is responsible to check Equipment on receipt. Any discrepancies or dissatisfaction must be brought to our attention in person or in writing no later than 24 hours of the event. All Equipment is checked and cleaned prior to every hire. The Hirer acknowledges on receipt of Equipment are in good order, clean and fit for hire. PN: Equipment that is regularly hired and may not be in perfect condition.
(h) Equipment that have been identified as damaged or lost will be invoiced to the Hirer within 5 days of hire return, if the bond deposit does not cover replacement. The damage invoice payment is required within 4 weeks of damage invoice date.


For the purpose of this clause, “Force Majeure” means an event or circumstance beyond the reasonable control of a party, including, but not limited to, acts of God, War, Rain, Hail, Wind, Fire, Explosion, Civil disobedience, Legislation not in force at the date of this Agreement or labour disputes. Neither Rustic Weddings Sydney nor the Hirer will breach this agreement and each party will not be liable to the other party for delay or failure to perform its obligation under this agreement due to Force Majeure. Rustic Weddings Sydney may give written notice to the Hirer, giving full particulars of such Force Majeure.

(a) Rustic Weddings Sydney shall not be liable for any indirect or consequential losses or expenses suffered by the Hirer, including but not limited to, loss of turnover, profits, business or goodwill or any liability to any other party or for any loss or damage suffered by the Hirer as a result of any delays caused by such Force Majeure events.
(b) Rustic Weddings Sydney does not refund due to inclement weather. The Hirer is responsible for alternate arrangements and must advise at least 3 hours in advance to start time.
(c) Equipment must be moved undercover in the event of rain.
(d) In the event that the weather poses a risk of damage to our Equipment we reserve the right to refuse using the Equipment in unsafe circumstances.


If “Hello Lucy Lou” is engaged to serve alcohol at your event the following applies:

(a) The Hirer is to provide all alcohol, this is to prechilled. A cool room is advisable for guest numbers over 60. The cool room is to be located close to the bar to avoid delays in drink service. Rustic Weddings Sydney can arrange cool room hire on your behalf for a fee if required.
(b) If Rustic Weddings Sydney deem that the chosen location is not suitable/safe for “Hello Lucy Lou” the Owner will choose the closest possible flat surface.
(c) “Hello Lucy Lou” provides bar service from the caravan bar windows. If table service is required this is to be advised at time of booking. Bar service is bottled beverages only (champagne, beer, wine, cider etc) and simple spirit mixers. Cocktail service may require another staff member to operate at full efficiency.
(f) The Hirer must provide safe and proper access to the event and exit from the event site. Rustic Weddings Sydney requires 1.5 hours to setup prior to bar service commencement and 45 minutes to pack down.
(g) Should alterations be made to guests’ numbers, specified access or setup or exit times, this will incur an additional fee.
(h) All breakages (outside the 5% rule) to crockery and glassware must be paid for.
(i) The Hirer is responsible for organising all rubbish and recycling bags and bins to be ready before the event starts. The Hirer is responsible for the disposal of all rubbish & recycling after the event.
(i) We serve children soft drinks in disposable cups. We use these cups for the final half an hour of service to ensure we can collect all glassware at the conclusion of our service.


(a) If the event is on public property, the Hirer is responsible for obtaining relevant permissions and permits from Council. Rustic Weddings Sydney require a copy of this at least two (2) weeks prior to event.
(b) If the event is at a venue, the Hirer is responsible for gaining permission from the venue, and ensuring Rustic Weddings Sydney is notified of any conditions or requirements at least two (2) weeks prior to the event.
(c ) If the event is to be held on private land, the Hirer is responsible for obtaining permission from the land owner.
(d) The Hirer is to provide power, where power is not available a generator for a fee can be supplied. Rustic Weddings Sydney must be advised at the time of booking.


Rustic Weddings Sydney’s staff who operate from “Hello Lucy Lou” are (Responsible Service of Alcohol) trained.

(a) Anyone under the age of 18 requesting alcohol will not be served
(b) If anyone looks under the age of 25 they will be required to show ID
(c) Anyone that is intoxicated will not be served.


Rustic Weddings Sydney reserves the right to use and release all photographs, videos or other recording media in which Rustic Weddings Sydney’s Equipment and or “Hello Lucy Lou” is in, or a part of. The Hirer releases all photographs of the Owner’s Equipment for viewing and/or to be used for promotion on websites and social media. The Hirer acknowledges that this is for promotional purposes only and will not expect compensation of any kind. There shall be no expiration period for this permission


The Owner will make every effort to complete the erection of the Equipment on or before the commencement of the Use Period, provided that the Hirer has complied with the undertakings set out above. If the Equipment is not erected before the commencement of the Use Period the Hirer shall have the right to withdraw and the Owner shall return all monies paid. If the Equipment is not erected because of delays due to weather or other circumstances beyond it’s reasonable control the Owner shall not be liable to pay further compensation to the Hirer

If the Deposit is not received within the 14 days of the quote sent, we deem the date to be available.
